Before you can create an invoice for a completion report, please be sure that you have filled out the Completion tab within the job, including the totals section at the bottom of that window (if you fill in the rest of that page, click in each of the Totals fields from left to right, the program will do the math for you).

In the Billing tab of the job, select the Billing Party you wish to create an invoice for from the drop-down list.

If the party you wish to invoice does not appear in the Billing Party drop-down list, it is because their information has not been entered into the Responsible Parties section of the job.

To create a new invoice make sure the Select Invoice drop-down menu is set to Add. The Invoice Date will default to today’s date, but can be manually changed. If you want to edit an existing invoice, select it from the Select Invoice drop-down menu.

Next, click Create Quick Invoice in the upper right hand corner of the window (to the right of Tasks).

Bugbase will default to creating a Completion invoice. To create an invoice for an inspection or a clear report, select the appropriate radio button to the right of the Billing Party field in the Quick Invoice window. The Details (the text that will print on the invoice) will change depending on the type of invoice you choose. You may also edit the Details field to say whatever you want (just click inside the box and type).

If the Billing Amt., Discount Amt., and Total Amt. fields are all correct, click Finish. Otherwise, input the numerical amounts you want in each field, and then click Finish.

Watch the Video

To create and edit findings and notes in Bugbase, go to: Administrator > WDO Admin > Findings / Notes

To edit an existing finding or note, click the blue arrow button next to the Finding/Note Code text box to see the full list of codes currently in the program. Select the finding or note you would like to edit and click OK. Click Save at the top when finished (located just underneath the Administrator menu option).

To create a new finding or note, first select Finding or Note on the left side of the Findings and Notes window.

Next, enter a new Finding/Note Code.

When creating a new finding or note, make sure that the finding code you choose is unique and corresponds to the content of the text. You will be entering this code into the Finding/Note Code field of a job.

Enter a Description for the code. The Description field serves as a reference label for the Finding/Note Code (for example, the Description for the Finding Code ‘SUBS’ is ‘Subterranean Termites’).

Enter the Finding or Note Text, which is the text that will appear on the actual report.

Bugbase also has certain helpful coded prompts for faster typing when entering findings into a job. For example, when you enter a finding code into the Findings / Recs tab of a job and there is a question mark within the Finding or Note text, it will automatically highlight and the cursor will be ready to type right there.

You may also use these coded prompts within your Finding or Note text: <COMPANY> or <PHONE>. These coded prompts tell Bugbase to insert your Company Name or Phone Number when printed. By using these special coded prompts, if you decided to change your Company Name or Phone Number you will only have to change it in Company Info, and all of your Findings and Notes that include these prompts will be automatically updated.

You can assign a Default Recommendation Code that is already exists in the program, or you can create a new one by clicking Create New Recommendation. Assigning a recommendation to a finding saves time when typing up a job because the program simultaneously fills in both the finding and the corresponding recommendation codes and text.

If you are creating a note, do not assign a Default Recommendation Code.

Select what Section your finding or note falls under (Unknown, I, II, N/A, or Further Inspection).

If you are unsure what Section your finding or note is, consult the Structural Pest Act.

If you do not want this finding to be editable within a job, click the check box to the left of Do not allow editing on reports.

Select a Report Category for the finding or note. This information tells Bugbase what boxes to automatically check on the front page of the report.

Click Save at the top when finished.

If you have a job window open that you are currently editing, you must switch between tabs to refresh the findings list in the job.

Note: Editing the content of your inspection report will affect all of your reports, past, present, and future. Before adding or editing the legal verbiage, please read the following statement from our legal department.

If you wish to edit an existing Legal Statement, press the blue arrow button next to the Code field to view the full list of existing Legal Statements and click OK.

By using these special coded prompts, if you decided to change your Company Name or Phone Number, you will only have to update the information in Company Info and all of your Legal Statements that include these prompts will be automatically updated.

Choose which section of the WDO Report you would like your Legal Statement to appear (Before Recommendations, After Recommendations, or on the WDO Contract page).

Note: There are clauses in the Structural Pest Act that specify the location of the required Legal Statements.

To insert your Legal Statement between existing Legal Statements, right click where you want your statement to go and select Insert Row. Select the blank row of the Code column and click on the drop-down arrow that appears on that line. From that menu, select your statement and click OK.
