<p>To apply a payment, go to: <strong>Receivables &gt; Payment Posting</strong></p>
<p>The <strong>Post Date</strong> at the top should already have today&#8217;s date. First, click the <strong>MOP </strong>(Method of Payment) box and select an option using the drop-down button.</p>
<p>Next, type in the <strong>Detail</strong> box any pertinent information such as a check number. Type in the numerical amount being paid in <strong>Payment Amt. </strong>and after inputting the <strong>Invoice #</strong>, the <strong>Billed Party Name</strong> and <strong>Balance </strong>fields should auto complete. Press &#8216;Enter&#8217; on your keyboard to create a second line to post another payment. Click <strong>OK </strong>at the bottom to complete the payment posting.</p>

<p>In the <strong>Counties</strong> window, click on the blue arrow button to the right of the <strong>County ID</strong> text box to see all of the counties in the system. To open and edit a county, select it from the list and click <strong>OK</strong>.</p>

<p>To create a new county in the system you will need to enter in the <strong>County ID</strong> code (see below for full list) and the <strong>County Name</strong>. Mark the checkbox next to <strong>Active</strong> to be able to generate monthly chemical reports for that county even if no chemicals were applied during a given month. Click <strong>Save</strong> at the top when finished (located just underneath the <strong>Administrator</strong> menu option).</p>

<p>Create a <strong>Route ID</strong>. For example: &#8220;1&#8243;, &#8220;John Doe&#8221;, or &#8220;Pest&#8221;</p>
<p>Next, in the <strong>Assign To</strong> field, select the employee you want this route to be assigned. Then, type in a <strong>Route Name</strong>. For example: &#8220;Pest 1&#8243;, &#8220;John Doe&#8221; (to match the employee assigned to the route), or &#8220;Office&#8221;. The selection of the <strong>Schedule Group</strong> drop-down defines how the route is categorized in the <strong>Schedule. </strong>All other fields are optional.</p>
<p>Click <strong>Save</strong> at the top when finished. When you open the <strong>Schedule</strong>, you should see the newly created routes on the left and across the top.</p>

					<div class='et-box-content'>Note: All inspection reports must be signed by the inspector, but completions may be signed by whoever prepared the completion report.</div></div>
<p>When emailing reports, there are a couple options:</p>
<p>1.  Print and sign the report. Then scan it, compile it to a PDF, and email it.<br />
2.  Insert a digital signature in Bugbase once, and save signed PDFs without any extra steps.</p>
<div class='et-box et-info'>
					<div class='et-box-content'>If you do not have a scanner, or if you are not comfortable with cropping and cleaning up images, we can create digital signatures for you at $25 per signature. Just sign a blank piece of paper and email us a picture of the signature.</div></div>
<p>To create a digital signature, first sign a piece of paper, and scan the image into any photo editing software (such as Paint). Scan the image at 300 DPI, and crop the signature as closely as possible. We recommend cleaning up any distortion/discoloration caused by your scanner and make as much of the white-space around the signature as pure white as possible, otherwise you will end up with discoloration around the signature (see below comparison).</p>

<p>Once you have scanned the signature, you must save it as a Bitmap (.bmp) file on your computer. Some software will default to saving as a Jpeg (.jpg) file (or a .png file), but saving the image as anything other than a .bmp format will cause problems when printing.</p>

					<div class='et-box-content'>Keep track of where you saved your scanned signature on your computer. You will need to locate this folder when uploading your signature file to Bugbase.</div></div>
<p>Once your scanned signature is formatted properly, you can upload it to Bugbase.</p>
<p>To add an employee&#8217;s signature in Bugbase, go to: <strong> Administrator &gt; Personnel &gt; Employees.</strong></p>

<p>Click <strong>View File</strong> <strong>P</strong><strong>lacement </strong>to view the <strong>Signature Preview</strong> window so that you can see what the employee&#8217;s signature will look like on all of your printed forms.</p>
<p>The signature may need to be adjusted based on its distance from the signature line.  If it looks a little too high or low, close the <strong>Signature </strong><strong>Preview</strong> window, and within the <strong>Employees </strong>window, choose a number from the <strong>Adjustment</strong> drop-down menu (positive numbers move the signature up from the line, negative numbers move it down). Click <strong>View File</strong> <strong>P</strong><strong>lacement</strong> again to see the new <strong>Signature Preview</strong>. Repeat this process until you get the signature where you want it on the line.</p>

Select the item you wish to email, then select <strong>PDF</strong> from the <strong>Print Option</strong> drop-down menu and click <strong>Process </strong>at the bottom of the window.</p>

				<content:encoded><![CDATA[<p>If your Bugbase program is freezing while you are trying to work in it, try the following solutions:</p>
<p>First, check the amount of RAM (installed memory) your computer holds by going to:<strong> Control Panel &gt; View by: Small icons &gt; System</strong></p>
<p>If you have less than 500MB, consider keeping other applications closed when working in Bugbase, or upgrade the amount of RAM.</p>
<p>If your computer has plenty of memory, then try this:</p>
<p>In Bugbase, go to: <strong>Schedule &gt; Scheduling Prefs </strong>and make sure the <strong>IP Address </strong>and<strong> Port</strong> fields are blank. If they&#8217;re not, delete the text in those fields, click <strong>OK</strong>, and close and reopen Bugbase.</p>
<p>Lastly, your anti-virus software could be constantly scanning files on your computer (including Bugbase) which could be the cause of the program freezing. If so, exceptions for Bugbase files need to be configured within the settings of the anti-virus software to prevent slowness and freezing in Bugbase.</p>

<p>To create and edit findings and notes in Bugbase,  go to:  <strong>Administrator &gt; WDO Admin &gt; Findings / Notes</strong></p>
<p>To edit an existing finding or note, click the blue arrow button next to the <strong>Finding/Note</strong> <strong>Code </strong>text box to see the full list of codes currently in the program. Select the finding or note you would like to edit and click <strong>OK</strong>. Click <strong>Save</strong> at the top when finished (located just underneath the <strong>Administrator</strong> menu option).</p>
<p>To create a new finding or note, first select <strong>Finding </strong>or <strong>Note </strong>on the left side of the <strong>Findings and Notes</strong> window.</p>
<p>Next, enter a new <strong>Finding/Note Code</strong>.</p>

					<div class='et-box-content'>When creating a new finding or note, make sure that the finding code you choose is unique and corresponds to the content of the text. You will be entering this code into the <strong>Finding/Note Code</strong> field of a job.</div></div>
<p>Enter a <strong>Description</strong> for the code. The <strong>Description</strong> field serves as a reference label for the <strong>Finding/Note Code </strong>(for example, the <strong>Description</strong> for the <strong>Finding Code</strong> &#8216;SUBS&#8217; is &#8216;Subterranean Termites&#8217;).</p>
<p>Enter the <strong>Finding or Note Text</strong>, which is the text that will appear on the actual report.</p>
<p>Bugbase also has certain helpful coded prompts for faster typing when entering findings into a job. For example, when you enter a finding code into the <strong>Findings / Recs</strong> tab of a job<span> and there is a question mark within the <strong>Finding</strong> or<strong> Note</strong> text, it will automatically highlight and the cursor will be ready to type right there.</p>

<p><span>You may also use these coded prompts within your <span><strong>Finding</strong> or<strong> Note</strong> text</span>: &lt;COMPANY&gt; or &lt;PHONE&gt;. These coded prompts tell Bugbase to insert your <strong>Company Name</strong> or <strong>Phone Number</strong> when printed. By using these special coded prompts, if you decided to change your <strong>Company Name</strong> or <strong>Phone Number</strong> you will only have to change it in <strong>Company Info</strong>, and all of your <strong>Findings </strong>and<strong> Notes</strong> that include these prompts will be automatically updated.</span></p>
<p>You can assign a <strong>Default Recommendation Code</strong> that is already exists in the program, or you can create a new one by clicking <strong>Create New Recommendation</strong>. Assigning a recommendation to a finding saves time when typing up a job because the program simultaneously fills in both the finding and the corresponding recommendation codes and text.</p>

<p>Select what <strong>Section</strong> your finding or note falls under (<strong>Unknown</strong>, <strong>I</strong>,<strong> II</strong>, <strong>N/A</strong>, or <strong>Further Inspection</strong>).</p>

					<div class='et-box-content'>If you are unsure what Section your finding or note is, consult the Structural Pest Act.</div></div>
<p>If you do not want this finding to be editable within a job, click the check box to the left of <strong>Do not allow editing on reports</strong>.</p>
<p>Select a <strong>Report Category</strong> for the finding or note. This information tells Bugbase what boxes to automatically check on the front page of the report.</p>
<p>Click <strong>Save</strong> at the top when finished.</p>

		<description><![CDATA[In the Print Options window, if Inspection Report is no [&#8230;]]]></description>
				<content:encoded><![CDATA[<p>In the <strong>Print Options</strong> window, if <strong>Inspection Report</strong> is not listed under <strong>Select Items to Print</strong>, that means the <strong>Inspection Date</strong> field was left blank in the WDO Report.</p>
<p>To fix this, go back to the job window, and on the <strong>General Info</strong> tab, enter a date into the <strong>Inspection Date</strong> field. Click <strong>Save</strong> at the top when finished, and reopen the <strong>Print Options</strong> window to print or preview the <strong>Inspection Report</strong>.</p>
