When emailing reports, there are a couple options: 1. […]

Note: All inspection reports must be signed by the inspector, but completions may be signed by whoever prepared the completion report.

When emailing reports, there are a couple options:

1. Print and sign the report. Then scan it, compile it to a PDF, and email it.
2. Insert a digital signature in Bugbase once, and save signed PDFs without any extra steps.

If you do not have a scanner, or if you are not comfortable with cropping and cleaning up images, we can create digital signatures for you at $25 per signature. Just sign a blank piece of paper and email us a picture of the signature.

To create a digital signature, first sign a piece of paper, and scan the image into any photo editing software (such as Paint). Scan the image at 300 DPI, and crop the signature as closely as possible. We recommend cleaning up any distortion/discoloration caused by your scanner and make as much of the white-space around the signature as pure white as possible, otherwise you will end up with discoloration around the signature (see below comparison).

Once you have scanned the signature, you must save it as a Bitmap (.bmp) file on your computer. Some software will default to saving as a Jpeg (.jpg) file (or a .png file), but saving the image as anything other than a .bmp format will cause problems when printing.

Keep track of where you saved your scanned signature on your computer. You will need to locate this folder when uploading your signature file to Bugbase.

Once your scanned signature is formatted properly, you can upload it to Bugbase.

To add an employee’s signature in Bugbase, go to: Administrator > Personnel > Employees.

In the Employees window, click on the blue arrow button to the right of the Employee ID text box to see a list of all the employees in your system. Select the employee’s name from the list that you want to add a digital signature to, and click OK.

The Employees window should now be filled with the selected employee’s personal information. Click Browse (next to the Signature File text box located on the right hand side of the window) to search for the emplyoee’s signature file.

Locate the folder where you saved your scanned signature, select it, and then click Open.

Click View File Placement to view the Signature Preview window so that you can see what the employee’s signature will look like on all of your printed forms.

The signature may need to be adjusted based on its distance from the signature line. If it looks a little too high or low, close the Signature Preview window, and within the Employees window, choose a number from the Adjustment drop-down menu (positive numbers move the signature up from the line, negative numbers move it down). Click View File Placement again to see the new Signature Preview. Repeat this process until you get the signature where you want it on the line.

Once the signature is positioned the way you like it, close the Signature Preview window and click Save at the top when finished.

Bugbase is not an email editing program, so you will need to have your email program functioning before you can email any documents from Bugbase. To email a report, service ticket, invoice, or any other document from Bugbase, you must first save it as a PDF file and then attach it to your email as you would any other document from your computer.

First, open the job you wish to email a document from. Then, click the Print button in the main toolbar at the top. Select the item you wish to email, then select PDF from the Print Option drop-down menu and click Process at the bottom of the window.

If you have not yet created a folder for PDFs, you can do so by right clicking and selecting New > Folder. Name the new folder Bugbase PDFs and then open the folder.
If your Bugbase program is freezing while you are tryin […]

If your Bugbase program is freezing while you are trying to work in it, try the following solutions:

First, check the amount of RAM (installed memory) your computer holds by going to: Control Panel > View by: Small icons > System

If you have less than 500MB, consider keeping other applications closed when working in Bugbase, or upgrade the amount of RAM.

If your computer has plenty of memory, then try this:

In Bugbase, go to: Schedule > Scheduling Prefs and make sure the IP Address and Port fields are blank. If they’re not, delete the text in those fields, click OK, and close and reopen Bugbase.

Lastly, your anti-virus software could be constantly scanning files on your computer (including Bugbase) which could be the cause of the program freezing. If so, exceptions for Bugbase files need to be configured within the settings of the anti-virus software to prevent slowness and freezing in Bugbase.

Before you can create an invoice for a completion repor […]

Before you can create an invoice for a completion report, please be sure that you have filled out the Completion tab within the job, including the totals section at the bottom of that window (if you fill in the rest of that page, click in each of the Totals fields from left to right, the program will do the math for you).

In the Billing tab of the job, select the Billing Party you wish to create an invoice for from the drop-down list.

If the party you wish to invoice does not appear in the Billing Party drop-down list, it is because their information has not been entered into the Responsible Parties section of the job.

To create a new invoice make sure the Select Invoice drop-down menu is set to Add. The Invoice Date will default to today’s date, but can be manually changed. If you want to edit an existing invoice, select it from the Select Invoice drop-down menu.

Next, click Create Quick Invoice in the upper right hand corner of the window (to the right of Tasks).

Bugbase will default to creating a Completion invoice. To create an invoice for an inspection or a clear report, select the appropriate radio button to the right of the Billing Party field in the Quick Invoice window. The Details (the text that will print on the invoice) will change depending on the type of invoice you choose. You may also edit the Details field to say whatever you want (just click inside the box and type).

If the Billing Amt., Discount Amt., and Total Amt. fields are all correct, click Finish. Otherwise, input the numerical amounts you want in each field, and then click Finish.

The new invoice information should now show up as a line item in the main Billing window of the job.
